Position Summary

As a key point of contact for new clients, you will facilitate communication between clients and various departments, ensuring that inquiries are directed to the appropriate legal team. Your focus will be on providing exceptional service to both potential and existing clients, thereby fostering repeat business and client referrals.

This position is ideal for a motivated individual who is committed to delivering outstanding customer service.

Key Responsibilities:

  • Engaging with clients through phone and email to gather information regarding their needs, establishing customer accounts, and discussing their requirements;
  • Maintaining a professional demeanor in all interactions;
  • Building and sustaining positive relationships with clients;
  • Managing all correspondence received in the designated email inbox;
  • Responding to voicemails and handling incoming and outgoing calls;
  • Keeping accurate and current records;
  • Upholding high standards of client service;
  • Ensuring timely updates for clients and referrers in accordance with service level agreements;
  • Coordinating with relevant parties to ensure matters progress smoothly;
  • Addressing a variety of situations with tact, diplomacy, and empathy;
  • Processing new instructions and preparing for client file initiation;
  • Recognizing and acting on scanned documents that require attention;
  • Reviewing client documentation;
  • Corresponding with clients, partners, and a diverse range of stakeholders to facilitate effective transaction handling;
  • Communicating with clients about their legal inquiries and directing them to the suitable department;
  • Ensuring a seamless and efficient client journey.

Required Skills and Knowledge:

  • Proficient IT skills;
  • Familiarity with Case Management Systems (training will be provided);
  • Strong telephone communication skills and ability to take accurate messages;
  • Good typing proficiency;
  • Ability to work collaboratively within a team;
  • Understanding of the firm's postal systems (training will be provided).
