Job Summary

We are seeking a highly skilled and experienced Administrative Assistant to join our team at Beaumont Business Centres. As a key member of our team, you will be responsible for providing exceptional customer service and administrative support to our clients and colleagues.

Key Responsibilities
  • Reception Services
    • Provide a warm and welcoming experience for clients and visitors
    • Manage the front desk and ensure a smooth sign-in procedure
    • Notify clients of visitor arrival and issue access passes as needed
    • Manage key issue and control, and operate the switchboard in an overflow situation
    • Receive, coordinate, and monitor requests for services assistance
    • Provide up-to-date progress of requests and record outcome and response times
  • Conference and Meeting Rooms
    • Manage bookings and enter onto the workspace management system
    • Coordinate catering and refreshment requirements
    • Communicate audio-visual equipment requests
  • Postal Services
    • Ensure all post received is sorted and hand-delivered for each client company
    • Frank and stamp outgoing post for collection
  • Courier Services
    • Arrange small packages and items of urgent mail for clients via the courier supplier
    • Record all items into the client account on Centre Charge
    • Receive incoming courier deliveries for clients and ensure sign-off
  • Client Services
    • Build and maintain client relationships
    • Deal with client enquiries and take action in a timely fashion
    • Perform secretarial and administrative duties as required
  • General Administration
    • Perform general filing, word processing, delivery notes, purchase orders, and other administrative tasks
    • Ensure stationery and resources are available for the day-to-day running of the Centre
