Job Overview

We are seeking a highly skilled and organized Medical Secretary to join our team at the NHS Foundation Trust. As a Medical Secretary, you will be the primary point of contact for patients and clinicians, providing exceptional administrative support to ensure the smooth operation of our healthcare services.

Main Responsibilities

Key duties of the role include:

  • Processing and logging referrals, including paper and Choose and Book, in line with Trust Access Policy and specialty SOP
  • Scheduling new and follow-up appointments for patients with the most appropriate clinician, ensuring capacity is proactively and efficiently used
  • Ensuring diagnostic and investigations required as part of the patient pathway have been requested, including those carried out at other Trusts and are available before clinic day
  • Coordinating appointments and procedures at other hospitals and organizations, where required
  • Recording clinic outcomes accurately on PAS, including those for offsite clinics
  • Leading on the completion of clinic cancellation forms and processing according to SOP
  • Rescheduling outpatient clinics as requested, in line with waiting time targets
  • Using the Trust's medical transcription system and ensuring that urgent letters are processed in accordance with SOP
  • Liaising with patient records staff, ward clerks, and other organizations to ensure all medical notes, referral letters, results, and discharge summaries are available for outpatient appointments and consultations
  • Recognizing when patients are on cancer pathways and liaising with Cancer Trackers to ensure patients are handed over appropriately

Person Specification

The ideal candidate will possess:

  • RSA III or equivalent administration qualification
  • GCSE or equivalent in English and Maths, grades A-C or equivalent experience
  • NVQ level II in business administration/customer care or acquired equivalent experience
  • Experience of using full range of IT systems and patient data systems
  • Experience of using Microsoft Office, including Word and Excel
  • Experience of scheduling appointments
  • Experience of working in a multidisciplinary team
  • Customer Care Experience
