We are seeking a highly organized and detail-oriented HR / People Services Associate to join our team at PIB Group. As a key member of our People Services Team, you will provide administrative support for our employees and managers, ensuring a seamless and efficient experience.
Key Responsibilities:- Provide exceptional customer service to employees and managers, responding to queries and resolving issues in a timely and professional manner.
- Administer new starter processes, including offer letters, contracts, and onboarding information, ensuring accuracy and attention to detail.
- Maintain employee files and records, ensuring compliance with company, legislative, and regulatory requirements.
- Communicate effectively with the Payroll Services team regarding new starters, leavers, and contract variations, ensuring timely and accurate processing.
- Administer company benefits, ensuring accurate and timely processing, and communicating with the People Benefits Coordinator as needed.
- Provide administrative support for changes of benefit or status, including timely and accurate liaison with the Payroll Services team.
- Accurately maintain data on the People system (Zeus), ensuring accuracy and attention to detail.
- Support improvements to People systems and workflows, identifying and implementing process improvements under the supervision of the People Services Manager.
- Administer key employee lifecycle processes, including maternity, paternity, shared parental leave, adoption leave, flexible working requests, probation, and leavers.
- Work effectively with other members of the People Services Team to manage the shared People ticketing system (Freshdesk), following customer service standards and protocols.
- Ensure relevant authorizations are obtained prior to processing employee changes, starters, or leavers.
- Provide references for leavers in line with standard referencing procedures and regulatory requirements.
- Issue exit interviews for leavers.
- Maintain and amend the Holman system as needed.
- Assist with integrations and uploading relevant documentation to Zeus.
- Undertake other reasonable tasks as requested.
- Efficient administrator with high accuracy and attention to detail.
- Organized approach with ability to prioritize effectively.
- Ability to work to tight deadlines under pressure.
- Collaborative approach, willing to work with other team members to complete joint tasks.
- Able to balance individual and team tasks.
- Experience working in a fast-paced, transactional environment.
