Human Resources Officer

Position Summary
We are pleased to present an opportunity for a committed Human Resources Officer, working 30 hours per week, to become a part of our Human Resources Shared Services team.
In collaboration with our HR specialists, the ideal candidate will enhance the productivity and effectiveness of our HR department while delivering exceptional service to our stakeholders.
This dynamic and diverse role entails providing organizational, administrative, and general HR assistance across various divisions, representing the HR team, supporting staff, and fostering relationships with managers and teams.
This position is ideal for individuals with prior experience in HR administration.
Core Responsibilities
Processes and Procedures:
- Prepare employment contracts for new hires, including contractors and agency personnel, ensuring a smooth onboarding experience.
- Conduct right to work verifications in accordance with current regulations.
- Manage the referencing process for new employees (including sending requests, following up on responses, updating records, and notifying HR Managers of any concerns).
- Oversee the occupational health process for new hires.
- Facilitate changes to employee terms and conditions and assist with the offboarding process, ensuring documentation is completed and Payroll is informed promptly.
- Handle external reference requests.
- Process financial references for employees.
- Assist with the Loyalty Award, Refer a Friend, and Alumni initiatives.
- Post job openings on our Applicant Tracking System, monitoring and updating vacancies as needed.
- Coordinate with HR or managers to ensure the timely extension or conclusion of fixed-term employment and contractor assignments.
- Maintain accurate and up-to-date employee records.
Reporting:
- Generate ad-hoc and monthly HR reports, including data on sickness and diversity & inclusion.
- Review monthly sickness returns and communicate with individuals and Managers as necessary.
- Monitor new joiners' probation periods at 3 and 6 months, following up on incomplete reviews.
- Report on employee leave status.
- Track the completion status of annual appraisals.
Additional Duties:
- Process invoices using the internal MyPurchasing system.
- Organize and arrange team travel.
- Update HR team organizational charts.
- Foster and maintain effective communication within the team and across divisions.
- Understand and implement company and team policies and procedures.
- Stay informed about legislative changes to ensure compliance and best practices are followed.

Team Environment
You will be part of a fast-paced team supporting a client group of approximately 6500 employees. The immediate team consists of a HR Shared Services Manager, HR Coordinator, one Senior HR Administrator, and five HR Administrators.
Additionally, you will benefit from being integrated into the broader HR team within the organization, providing an excellent opportunity to collaborate with knowledgeable, cooperative, and friendly HR professionals.
