About the Role

We are seeking a highly organized and experienced Executive Assistant to provide comprehensive support to our Chief Executive. This is a temporary full-time position to cover a secondment, with the possibility of vacancies arising in this area during this time.

Key Responsibilities
  • Administrative Support: Provide high-level administrative support to the Chief Executive, including managing schedules, correspondence, and travel arrangements.
  • Communication: Act as the first point of contact for the Chief Executive, handling enquiries and requests efficiently.
  • Document Preparation: Prepare and edit communications, presentations, and other documents.
  • Research and Data Analysis: Conduct research, assemble data, and prepare papers for consideration and presentation.
  • Event Coordination: Arrange and coordinate meetings and events.
  • Minute Taking: Record, transcribe, and distribute minutes of meetings.
  • Communication Management: Monitor, respond to, and distribute incoming communications.
  • Team Support: Liaise with internal staff at all levels and interact with external clients and stakeholders.
  • Process Improvement: Review operating practices and implement improvements where necessary.
  • Team Supervision: Supervise and train new team members, providing guidance and support.
Requirements
  • Experience: Extensive experience in an Executive Assistant / Senior PA role supporting senior-level executives.
  • Background: Desirable background in local government.
  • Team Management: Experience in managing and supporting a team.
  • Organizational Skills: Excellent organisational and time management skills.
  • Communication Skills: Strong communication and interpersonal abilities.
  • Technical Skills: Proficiency in MS Office and administrative software.
  • Discretion: Ability to work independently and handle confidential information with discretion.
  • Flexibility: Flexible and adaptable to changing workloads.
