The Ecological Restoration Fund (ERF) is a charitable organization dedicated to environmental initiatives. Role Overview

The Funding Coordinator position is a newly created role within our growing team. This position will focus on various aspects of grant management, offering support to grantees and assisting ERF staff.

Key Priorities for the Funding Coordinator:

  • Oversee the development and implementation of ERF's new funding management system;
  • Manage data entry within the funding management system and provide assistance to program staff and grantees;
  • Support the entire funding cycle, including scoping, recommendations, approvals, and reporting;
  • Generate essential administrative outputs from the funding management system, such as reports and reminders;
  • Assist program staff with grant management tasks during peak periods and provide coverage as needed;
  • Undertake additional delegated support activities, including assistance to the Executive Director and program staff.

Key Responsibilities:

Funding Management System

  • Manage all aspects of the development and rollout of ERF's funding management system, including liaising with the database supplier;
  • Support data management processes within the funding management system;
  • Train ERF staff on the operation and management of the funding management system.

Grant Administration

  • Address all administrative matters related to grants, including tracking commitments and managing payments;
  • Monitor compliance with reporting requirements and assist in reviewing grant reports;
  • Handle correspondence related to grant applications and requests;
  • Ensure accurate documentation and filing of grant information;
  • Support program staff in maintaining effective systems for grant administration;
  • Conduct programmatic research as requested;
  • Provide administrative support for other funding processes as needed;
  • Offer guidance to applicants and grantees on administrative procedures.

Planning and Reporting

  • Assist the Executive Director and program staff in preparing financial reports, Board papers, and presentations, including creating charts and formatting documents.

Other Responsibilities

  • Provide occasional administrative support to the Executive Director as needed;
  • Offer support to program staff in their broader work as required.

Relationships and Reporting Lines

  • The role will report to the Executive Director;
  • Collaborate closely with program staff;
  • Work in partnership with office support colleagues, sharing information and providing mutual support;
  • Offer guidance and support to grantees and potential grantees.

PERSON SPECIFICATION

Knowledge, Qualifications, and Experience

  • Bachelor's degree in a relevant field or equivalent professional experience;
  • A solid understanding of the Fund's areas of interest;
  • Strong literacy and numeracy skills;
  • A minimum of five years of experience in an operational role, preferably in a related field;
  • Excellent administrative skills;
  • Proficient in Microsoft Office, particularly Excel, and experience with CRM systems or grant management software.
