Position Overview

Role Summary

In the capacity of an administrator, your primary responsibility will be to collaborate with the UAS team, assisting clients in joining and engaging with the Unit Award Scheme.

Each month, you will manage substantial volumes of incoming and ongoing tasks, necessitating exceptional organizational and prioritization abilities to ensure timely completion.

The administrative duties are diverse and encompass aiding new clients in filling out registration forms, organizing and facilitating training workshops, managing initial communications with clients through various channels, and supplying information to colleagues in departments such as Finance.

You will utilize several Microsoft applications, including Outlook, Dynamics, and Excel, along with proprietary processing systems.

UAS is broadening its operational and customer reach in alignment with a five-year investment strategy.

Increased external recognition and visibility of UAS is resulting in a broader and more diverse application of the Scheme across various educational sectors.

This expansion is creating enhanced opportunities to refine the Scheme, offering customized support, including specialized training sessions and tailored unit suites.

The UAS team engages directly with clients, delivering expert assistance and guidance to both new and existing clients, ensuring they maximize their utilization of UAS.

UAS collaborates with teams across Customer and Product, particularly in Sales, Marketing, and Curriculum.



Key Responsibilities:

Provide administrative assistance for the efficient execution of the registration process, ensuring a high level of accuracy to facilitate organizations in joining UAS promptly.

This involves following up on references, verifying safeguarding policies, gathering financial details for invoicing, and confirming that terms of business are duly signed.


Inputting new organizations into our financial processing system and supplying data for invoicing purposes.


Establishing and maintaining precise customer records on CRM, event management, and claims processing systems.

Proactively addressing initial internal and external customer inquiries, utilizing suitable communication channels and escalating issues when necessary to ensure customer expectations are effectively managed and all inquiries are addressed promptly.

Coordinating and organizing monthly online training sessions, including liaising with our online training provider and communicating with clients to guarantee a seamless experience.

Collaborating with the Registrations and Training Manager to ensure that all process documentation, guidelines, and procedures are regularly reviewed and updated.


Assisting in the unit validation process, which includes conducting secondary checks of units submitted by clients each month.


Supporting the collection of customer insights and research initiatives.


Compiling data for our monthly reports to evaluate performance against UAS objectives.

Exhibiting strong IT proficiency in various reporting, data processing, and analytical tools, such as CRM, Workday, Excel, Dynamics, PowerBi, and Quartz.

Fostering exceptional relationships with our internal and external clients to consistently deliver a top-tier service that meets their requirements.

As business needs evolve, undertaking additional responsibilities that align with the level of this role.
