Key Responsibilities

The Procurement Support Specialist will collaborate within the Procurement team to assist in executing the procurement strategy and meet established objectives. This role encompasses:

  • Achieving cost savings and operational efficiency
  • Enhancing adherence to procurement regulations
  • Delivering exceptional customer service
  • Implementing initiatives to minimize risks

Engage in designated projects with defined timelines and outcomes for stakeholders. This includes sourcing products, equipment, materials, and services that fulfill requirements while ensuring value for money and promoting a cohesive procurement approach.

Execute the procurement of specified goods and services in accordance with established financial guidelines, ensuring optimal value and compliance with provided specifications.

Offer professional guidance to users regarding the procurement process, including compliance with relevant regulations, under the supervision of the line manager.

Participate in a dynamic customer service team responsible for various tasks, including processing purchase requests, placing orders, addressing invoice discrepancies, sourcing products, and managing catalogs. You will also assist colleagues and stakeholders in understanding procurement regulations and effectively communicate with individuals at all organizational levels using both written and verbal skills.

East Lancashire Hospitals NHS Trust provides comprehensive procurement, commercial, and supply chain services to its partners. The organization operates under a shared service model, ensuring efficient and effective procurement practices.

The position is part of the Customer Services Team within the Procurement Service.

Job Duties

The primary responsibilities include:

  • Assessing and delivering optimal procurement processes for acquisitions for stakeholders through various sourcing methods.
  • Developing product knowledge from suppliers and introducing alternative options to stakeholders to achieve cost savings.
  • Assisting with quotation processes and cost evaluations for the procurement of goods and services.
  • Coordinating with suppliers to secure competitive pricing.
  • Generating reports and data to support the procurement team in identifying standardization opportunities or cost-effective alternatives.
  • Producing management reports from procurement systems, analyzing data to provide insights for monitoring expenditure and stock levels.
  • Collaborating with the procurement team to ensure standardized products are ordered.
  • Processing requisitions for stakeholders using designated procurement systems.
  • Addressing discrepancies, shortages, and returns in a proactive and diplomatic manner.
  • Adhering to organizational policies and maintaining a high standard of professionalism with stakeholders and suppliers.
  • Supporting team members to ensure customer satisfaction with the procurement service.
  • Providing coverage for team members during absences as needed.
  • This role may require travel to various sites for training or work-related purposes.
  • Performing additional duties as required within the scope of the position.
  • Assisting budget holders in managing project budgets and providing regular updates.
  • Documenting efficiencies in terms of savings and cost avoidance.

Qualifications

Essential

  • A solid educational background, including Mathematics and English Language at GCSE level C/4 or equivalent.
  • A commitment to ongoing professional development to enhance knowledge.

Desirable

  • Familiarity with professional purchasing principles through NVQ level 3 or equivalent experience.

Experience

  • Experience in collaborating with clients/stakeholders to deliver projects or services.
