About the Role

We are seeking a highly organized and detail-oriented individual to join our team as an Institute Administrator. This is a key administration role that will work across the institute's portfolios to support our work in delivering high-quality education and research programs.

Key Responsibilities
  • Take responsibility for the administration of Institute-related training courses, development days, and conference events, working closely with the Institute team leads to ensure all booking systems are updated and rooms and venues are booked appropriately.
  • Liaise with internal and external stakeholders to ensure all booking requirements are fulfilled in a timely fashion.
  • Book, plan, and facilitate key meetings that are linked within the portfolios and events you are working in, taking notes and actions at all meetings and ensuring agenda, notes, and any other documentation are distributed to all attendees in a timely manner.
  • Act as Admin Lead for the portfolios and events you are allocated to support, using initiative and problem-solving skills to resolve any issues that may arise on the day of an event.
  • Ensure all databases, spreadsheets, and publications are kept up to date and accurate, in line with the current Standard Operating Procedure (SOP) for the portfolios you are admin lead for.
  • Provide a high-quality communication service by responding to messages to the Institute Mailbox in a timely manner or cascading them to the relevant Faculty member to answer.
  • Set up and clear any training courses, development days, and conference events, including technical and equipment support where necessary.

Person Specification

We are looking for an individual who has:

  • 4 GCSEs or equivalent, including English
  • NVQ Level 3 in Business Administration, ECDL, or equivalent experience
  • Previous experience of office administration or a similar relevant role
  • Knowledge and experience of using software programs, including Microsoft Office, especially Outlook, Word, Excel, and PowerPoint

We also welcome applications from individuals who have experience of working in a healthcare environment, significant experience of using Microsoft Excel, and previous experience of taking minutes of meetings and transcribing notes accurately and efficiently.
