Job Overview

The Riverside Practice is seeking to appoint a full-time Healthcare Operations Manager.

We are in search of a dynamic and capable operations manager who is eager to embrace a stimulating and rewarding challenge. Our practice is well-structured and welcoming, providing exceptional General Medical Services (GMS) to over 7200 patients. Our team includes 2 GP partners, 1 salaried GP, an experienced Advanced Nurse Practitioner, a Nurse Practitioner, and a dedicated nursing staff, alongside a committed Primary Healthcare Team.

Key Responsibilities

Deliver leadership and management to ensure the Practice achieves its established goals and objectives within a profitable, efficient, safe, and effective operational framework.

Core Duties Include:

Strategic Oversight and Planning

The successful candidate will:

Stay informed about current developments and pinpoint potential challenges and opportunities. Contribute to the strategic direction of the Practice; set objectives and explore innovative ideas for future growth. Assess and monitor the performance of the Practice team against set objectives; manage and implement necessary changes. Foster effective communication within the Practice and with relevant external organizations. Prepare and annually revise the Practice Development Plan, overseeing the execution of its goals. Evaluate and manage space requirements and oversee development and expansion initiatives. Relay essential information to the Partnership as needed.

Financial Oversight

Oversee Practice budgets, striving to maximize revenue while minimizing expenses. Understand and report on the financial implications of contractual and legislative changes. Manage Practice accounts; ensure timely submission of year-end figures and liaise with the Practice accountant. Oversee cash flow, preparing regular forecasts and reports for the partners. Manage and reconcile bank accounts. Monitor and reconcile income and expenditure statements. Supervise partners' drawings in accordance with accountant instructions. Establish systems for handling and recording cash and cheques.

Organizational Management

Communicate all necessary information to the Partnership. Organize meetings, prepare agendas, and ensure distribution of minutes as required. Develop and update Practice protocols and procedures as necessary. Ensure that Practice facilities are well-maintained and secure. Manage procurement of Practice equipment and supplies within budgetary constraints. Develop and review Health & Safety policies and ensure compliance with current legislation. Arrange suitable insurance coverage. Ensure the Practice has adequate disaster recovery plans in place. Coordinate maintenance for Practice equipment.

Patient Services Management

Take a strategic approach to the development and management of patient services. Ensure service development aligns with local and national guidelines. Ensure compliance with NHS contractual obligations regarding patient care. Monitor patient turnover and capitation. Oversee and enhance repeat prescribing systems. Manage and optimize appointment systems. Organize surgery schedules and duty rosters. Regularly assess Practice performance against patient access and demand management targets. Develop an effective complaints management system. Engage with patient groups and attend relevant meetings.

Information Management and Technology

Evaluate and plan for Practice IT implementation and modernization. Stay updated on advancements in primary care IT. Support and monitor staff in IT usage; organize training as needed. Set targets for data entry and collection. Ensure effective IT data security and disaster recovery plans are in place. Liaise with NHS organizations regarding systems procurement and funding. Maintain the Practice's website.

Required Skills and Experience

Essential Skills:

Experience Requirements:

Essential:

Experience in public-facing roles. Experience managing accounting processes, including budgeting. Background in healthcare settings. Experience managing multidisciplinary teams. Experience in performance management and staff development. Proven track record in project development and implementation. Experience in workforce planning and development.

Desirable:

Experience in NHS or primary care. Relevant health and safety experience.

Additional Requirements:

Flexibility to work outside standard hours. Disclosure Barring Service (DBS) check. Commitment to confidentiality. Full UK driving license.
