School Office Manager

We are seeking a highly organized and detail-oriented School Office Manager to join our team at TwentyFour Recruitment Group.
Key Responsibilities:
- Lead administrative support for the school, ensuring seamless day-to-day operations.
- Oversee the front office function, providing exceptional customer service to students, staff, and visitors.
- Line manage the finance assistant/receptionist, providing guidance and support as needed.
- Lead HR and Recruitment functions across the school, ensuring compliance with regulations and best practices.
- Support the School Business Manager with finance requirements, including budgeting and forecasting.
Main Duties and Responsibilities:
- Manage the school's email inbox, responding to queries and escalating issues as necessary.
- Deal with student and staff absences, ensuring accurate records and timely communication.
- Work closely with the admissions officer to ensure smooth admissions processes.
- Identify, update, and create effective administrative processes to improve efficiency and productivity.
- Act as receptionist, answering phones and providing a warm welcome to visitors.
- Ensure school security arrangements are always complied with, maintaining a safe and secure environment.
- Act as the lead fire marshal, ensuring compliance with fire safety regulations.
- Monitor stock levels and ordering of admin supplies, ensuring the school is well-equipped and resourced.
- Line manage a junior team member, providing training and development opportunities.
- Ensure all staff records are maintained accurately and completed, including attendance and performance management.
- Monitor staff attendance, addressing any issues or concerns promptly.
- Support the School Business Manager and Headteacher with general HR advice, ensuring compliance with regulations and best practices.
- Take control of recruitment for the school, ensuring documents and compliance are up to date.
- Prepare and issue staff contracts, ensuring accuracy and compliance.
- Ensure relevant staff members complete new starter processes, ensuring a smooth onboarding experience.
- Support the Finance Assistant, ensuring accurate financial records and timely reporting.
- Identify missing invoices and action, ensuring prompt payment and compliance.
- Attend and participate in relevant meetings as and when required, ensuring effective communication and collaboration.

- Experience in an education setting, with a strong understanding of the sector and its challenges.
- Flexible and open to change, with a willingness to adapt to new situations and priorities.
