Job Summary

We are seeking a highly organized and detail-oriented Facilities Helpdesk Administrator to join our team at Invictus Group. As a key member of our facilities team, you will be responsible for providing exceptional support to our clients and ensuring the smooth operation of our facilities management systems.

Key Responsibilities
  • CAFMS System Management: Use the CAFM system as a user on site, including PPM records, reactives, and reporting.
  • Helpdesk Support: Answer calls and emails in a timely fashion, ensuring all reactive requests have the correct priority and engineer assigned.
  • Communication and Collaboration: Maintain communication throughout reactive job life between the Facilities Team and end users, where possible applying RFT and closing calls over the phone without assignment.
  • Quality Assurance: Liaise with the Lead Engineer and Ops Manager daily/weekly to ensure quality of service is maintained.
  • Performance Review: Review subcontractor performance and feedback through appropriate systems, with assistance from Contract Support.
  • Reporting and Analysis: Provide comprehensive reports relating to all jobs raised through the CAFM system, analysis and comprehension of reports relating to the CAFM system.
  • Client Metrics: Update client-specific metrics and forecasting models in the absence of Contract Support.
  • Hazard and Feedback Logging: Log hazards and customer feedback on the QHSE Management Portal.

  • Organizational Skills: Work in a structured way, thinking ahead to prioritize work.
  • Communication Skills: Maintain effective communication with the Facilities Team and end users.
  • Technical Skills: Proficient in using the CAFM system and other relevant software.
