JOB OVERVIEW

Wood is seeking a dedicated Project Team Administrator to enhance our Projects division. This role supports a hybrid work model, allowing flexibility while primarily based in our office.

Key Responsibilities

The Project Team Administrator will be closely integrated with the Oil, Gas & New Energies sector of our Projects division. The successful candidate will provide comprehensive administrative support and coordination to our technical teams, effectively managing diverse tasks and priorities in a dynamic project environment.

PRIMARY DUTIES
  • Serve as the main point of contact for the Projects team regarding all administrative functions.
  • Coordinate visa arrangements for project-related travel.
  • Organize international travel, including flights, accommodations, and transfers, often involving complex itineraries.
  • Compile, manage, and distribute weekly, monthly, and executive reports.
  • Oversee the administration of new team members and departures, ensuring all necessary software and hardware are in place.
  • Maintain essential departmental data, including distribution lists, contact lists, team CVs, and asset management.
  • Assist with Oracle timesheet adjustments and expense verification.
  • Manage office space, including desk assignments and meeting room bookings.
  • Order office supplies and miscellaneous items for the department.
  • Coordinate team-building activities and social events.
  • Administer external subscription services and internal programs.
  • Support the administration of Oracle systems related to departmental proposals and projects.

Essential Skills:
  • Ability to work collaboratively within a team.
  • Prior experience in a project or team secretary, office manager, or senior administrative role.
  • Exceptional organizational and administrative skills.
  • Strong communication abilities across all levels of staff.
  • Proficiency in handling confidential information.
  • Advanced user of Microsoft Office applications.
  • Experience with ERP and travel booking systems.
  • Proactive approach to supporting departments and managers.
  • Adaptability and excellent communication skills.
Preferred Skills:
  • Familiarity with Wood's operational practices.
  • Experience with the Oracle ERP system is a plus.
