Position Overview

This role offers a unique opportunity to contribute to the Safety and Quality team, providing essential administrative and organizational support.

Key Responsibilities

The successful candidate will be responsible for:

  • Delivering comprehensive administrative assistance to the Safety and Quality team, including document preparation, report generation, and correspondence management.
  • Handling incoming communications, ensuring accurate message-taking and addressing inquiries in accordance with established protocols.
  • Maintaining and organizing electronic calendars for team members, ensuring efficient scheduling of meetings and appointments.
  • Managing databases and spreadsheets, producing regular reports and statistics as required.
  • Coordinating meetings, including logistics such as room reservations, minute-taking, and distribution of meeting notes.
  • Implementing and maintaining a secure filing system for both physical and electronic documents.
  • Performing general office duties, including photocopying, collating, and managing incoming and outgoing mail.
  • Collaborating with various stakeholders across the organization and external agencies to facilitate effective communication and workflow.

Essential Skills and Qualifications

The ideal candidate will possess:

  • Proficiency in typing and word processing, with a minimum qualification equivalent to RSA 2.
  • A solid educational background.

  • Experience in using Microsoft Office applications effectively.
  • The ability to manage sensitive information with discretion and professionalism.
