Academic Office Coordinator

Avocet Recruitment Ltd is seeking an experienced Office Manager to provide administrative and finance support to the commercial team and company directors.
Duties and Responsibilities:- Organise payment runs with director oversight and ensure timely completion.
- Manage invoicing and credit control processes to maintain accurate records.
- Perform general bookkeeping tasks, including VAT, CIS returns, and payroll preparation.
- Provide administrative support to the commercial team, including organisation of social and team-building events.
- Oversee the organisation of weekly site reports with site managers for review by company directors.
- Create and manage project drawing packs to ensure efficient project delivery.
- Assist remotely with new site setup and H&S compliance, working closely with the H&S consultant.
- Manage timesheet and holiday calendar to ensure accurate records.
- Maintain a subcontractor directory with up-to-date insurance, CIS, and contact details.
- Manage the fleet of commercial vehicles to ensure efficient operations.
- Develop and implement the H&S training programme for employees, including organisation of group training events.
- Strong organisational skills with attention to detail and ability to handle administrative tasks efficiently.
- Proficiency in QuickBooks and Google is advantageous.
- Excellent phone etiquette and communication skills to effectively interact with stakeholders.
- Competency in data entry and maintaining accurate records to ensure seamless operations.
- Flexible approach to learning new skills to adapt to changing business needs.
- Performance bonus to recognise outstanding performance.
Monday to Friday, with some flexibility to accommodate business needs.
