Fleet Manager Job Description

We are seeking a skilled Fleet Manager to oversee the daily operations and maintenance of our truck and trailer fleet. The ideal candidate will have a strong understanding of HGVs and trailers, as well as a mechanical background.

Key Responsibilities:
  1. Maintenance and Repair: Ensure that planned maintenance is efficiently organised and documented using our fleet management platform.
  2. Breakdown Management: Receive all vehicle and equipment breakdown and damage repair requests and take the appropriate action with our service agents, workshop or dedicated Mobile fleet support team.
  3. Fleet Documentation: Record all fleet maintenance activity accurately and efficiently using our fleet management software.
  4. Customer Communication: Ensure customers are advised of any issues regarding fleet maintenance or breakdowns.
  5. Team Collaboration: Liaise with all workshops, mobile and third-party engineers to organise fleet maintenance tasks.
  6. Breakdown Response: Receive all breakdown calls and allocate engineers/service agents accordingly.
  7. Reporting and Compliance: Ensure all fleet maintenance documentation is accurately entered into software programmes and databases for reporting and reference purposes.
  8. Customer Service: Answer telephone for fleet enquiries, responding to calls within remit of responsibility professionally and efficiently.
  9. Vehicle Recovery: In the event of vehicle breakdown, organise recovery service and replacement vehicles.
  10. Regulatory Compliance: Maintain records for road tax and MOT schedules ensuring vehicles and trailers are compliant for road use.
  11. Financial Management: Control and approve repair costs, authorising vehicle warranty and maintenance repairs within financial control limits.
  12. Cost Control: Control costs without adversely affecting safety or customer service standards or the quality of the hire fleet.
  13. Performance Reporting: Provide accurate reports to fleet and operational teams as requested to inform colleagues on agreed performance parameters.
  14. Policy Adherence: Be conversant and apply all organisational policies and procedures and the software systems used to access and support all processes.
  15. Incident Reporting: Report incidents which are documented in accordance with company policy.
  16. Teamwork: Work as part of a team to ensure engagement and two-way communication using all available methods, including electronic mail, team meetings and weekly operation meetings.
  17. Qualifications: Must have a mechanical background and engineering qualifications (NVQ, IRTEC etc).

Reports Directly To: Operations Manager / Managing Director

Salary: up to £45k

Hours of work: Monday - Friday 08:00 - 17:30 with 1 in 4 Saturday morning rota from 08:00 - 12:00.

Holiday: 20 days holiday plus all bank holidays.

Loyalty Bonus: After 2 years of service (1 day additional holiday and up to an extra 5 days after 7 years).
