A leading City Law firm is seeking a skilled Receptionist/ Hospitality Coordinator to join their National Client Services and reception team. The ideal candidate will deliver an exceptional reception and hospitality service to both internal and external clients.

The Receptionist/ Administrator will work closely with the team to provide administrative support and ensure the smooth operation of the office.

The working hours for this Receptionist/ Administrator role are 37.5 hours per week, based on a 7.5 hours shift pattern, Monday to Friday. The core hours of the business are between 07:30 and 18:00, with flexibility to work outside of these hours as required.

This is a permanent role, offering a competitive salary of up to £26k, depending on experience.

Key Responsibilities:

  • Maintain a professional and welcoming reception area, ensuring it is clean and tidy at all times.
  • Manage the reception switchboard, answering calls, transferring calls, and taking messages.
  • Greet clients and visitors, providing a courteous and helpful service.
  • Manage the Reception outlook diary, ensuring all appointments and meetings are scheduled and confirmed.
  • Assist the marketing team with in-house events, including ordering catering and arranging logistics.
  • Order stock and complete monthly stocktakes, ensuring the office is well-stocked and organized.
  • Code and reconcile all invoices, ensuring accurate and timely payment.
  • Work closely with other teams to provide administrative support and ensure the smooth operation of the office.
  • Monitor and maintain all internal meeting rooms to a high standard.
  • Set up conference calls and assist with travel/hotel booking for internal clients.
