About the Role

MTrec Commercial is seeking an experienced Customer Service Administrator to join our team. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day running of our service contracts.

Key Responsibilities
  • Service Contract Upkeep: Ensure all contracts are up-to-date and that quotes are obtained and invoices are processed in a timely manner.
  • Job Diary/Logistics: Coordinate with customers to arrange maintenance visits, send service visit forms, and book diary entries for maintenance days.
  • Appointments Booking: Schedule visits for service to evaluate installation jobs or conduct site visits.
  • Customer Contact: Liaise with customers to keep them informed about their site visits and maintain regular contact with service contract customers.
  • Timesheets: Collect and process timesheets, verify with trackers, and obtain MD sign-off before sending to Head Office.
  • Site Inductions & Contractor Safety Cards: Maintain records of site inductions and contractor safety cards, ensuring renewals are booked in good time.
  • Vehicle Register: Keep vehicle records up-to-date, including maintenance, tax, and MOTs.
  • Maintenance Reports: Review maintenance reports following service visits and identify opportunities for additional work.
  • Tools and Equipment Lists: Maintain accurate records of tools and equipment, ensuring calibration and PAT testing is up-to-date.
  • General Telephone Enquiries: Handle ad-hoc administrative duties and provide excellent customer service.
Requirements
  • Strong administration skills and excellent organizational/logistical planning skills.
  • Sound business knowledge and employee relationship skills, with a focus on health and safety.
  • Excellent interpersonal skills and IT skills, particularly in Microsoft Word, Excel, and Outlook.
  • Time management skills and a customer-focused approach.
  • Diplomacy, tact, and mediation skills.
