Role Purpose:Assist the Fit and Proper Lead in managing and coordinating all Fit and Proper activities across the organization, ensuring compliance with obligations under the National Lottery Licence.
Role Responsibilities:- Monitor, update, and document key Fit and Proper vetting activities for each entity and individual to ensure timely progress in accordance with licensing requirements.
- Follow up on outstanding actions and information with the business and third parties for less complex cases.
- Collaborate with the Governance Committee on progress and outstanding information, uploading necessary data to their portal.
- Provide support for interpretation inquiries related to less complex matters.
- Gather information from the business and suppliers, assisting in drafting notifications and consents for review by senior management.
- Prepare and distribute Fit and Proper letters, onboarding materials, communications, and attestations.
- Act as a liaison between Procurement and Fit and Proper, scheduling meetings with new suppliers and addressing lower-level queries.
- Manage the Fit and Proper inbox to ensure all correspondence is addressed, escalated, and archived appropriately.
- Maintain records in accordance with sensitivity requirements.
- Compile and update monthly information for submission to Protective Security for processing.
- Follow up on outstanding submissions related to prohibited participation.
Key Measures of Success:
- Support the Fit and Proper Lead in fulfilling their responsibilities effectively.
- Maintain a central tracker and Fit and Proper inbox to the required standard and in a timely manner.
- Address queries promptly.
- Submit Governance Committee updates within the required timelines.
Requirements:
Key Skills and Experience:- Exceptional organizational skills to manage multiple tasks efficiently.
- Ability to engage with the Governance Committee and suppliers, understanding the sensitivities involved.
- Influencing skills to ensure timely completion of actions by others.
- Problem-solving skills to proactively address Fit and Proper inquiries.
- Understanding of compliance and legal frameworks is advantageous.
