Position Overview

We are pleased to announce an opportunity for a permanent Band 4 position for a Trauma Services Administrative Coordinator to become a vital member of our Outpatient Team within the iMSK; specifically in Orthopaedics. This role entails working hours from Wednesday to Friday, focusing on essential administrative tasks while collaborating closely with our Consultants and team members to ensure exceptional service delivery to our patients.

The ideal candidate will possess the capability to function effectively within a team environment, demonstrating outstanding customer service skills, excellent communication abilities, and a solid understanding of healthcare service delivery. A commitment to maintaining high standards of care quality and performance is essential. Candidates should be team-oriented, capable of problem-solving, and have a comprehensive understanding of the 18-week patient pathway, with further training provided as necessary. Proficiency in various systems, including Cerner, QlikView, CRIS, and Dictate, is advantageous but not mandatory, as training will be available. Responsibilities will also include providing precise updates to Clinical Rotas.

Key Responsibilities

As the primary contact for the Triage Team, you will manage a significant volume of inquiries, some of which may be challenging. The ability to maintain composure under pressure is crucial. You will work within a diverse team, requiring adaptability to various personalities. A solid understanding of the 18-week Pathway is vital, as continuous patient tracking will be expected.

We value candidates who can operate independently, as the department is notably busy. Team collaboration is essential, along with the ability to manage multiple requests simultaneously.

The successful candidate should be dependable, empathetic, possess advanced computer skills, and demonstrate excellent time management.

Job Responsibilities

Overview of Duties:

The primary objective is to support the delivery of the highest quality patient care through personal actions and ongoing improvement.

Responsibilities include:

  • Ensuring referrals via eRS or C2Cs are processed and triaged promptly and efficiently, adhering to the 18-Week Referral-To-Treatment pathway.
  • Maintaining high standards in providing an appointments service, supporting both patients and professionals.
  • Producing high-quality patient information to optimize resource utilization and support service level agreements and future service planning.
  • Ensuring patients receive accurate documentation and information regarding their appointments in line with current Trust and Divisional objectives.
  • Transcribing dictation letters using Dictate-IT software.
  • Checking all clinic letters for accuracy and ensuring outcomes are recorded on PAS.
  • Monitoring patients referred to other Trusts for treatment to prevent breaches of the 18-week timeline.
  • Liaising with the Appointments Centre regarding outpatient clinic bookings and ensuring timely follow-up appointments.
  • Effectively managing patient queries through written communication and telephone interactions.
  • Coordinating relevant clinical activities and managing patient pathways in collaboration with the Patient Pathway Team.
