About the Role

The Facilities team is responsible for maintaining all THG sites, ensuring that all colleagues and visitors are in a clean, safe environment while on site.

As the Front of House Receptionist, you will be the face of the business for visiting colleagues and guests and be responsible for leaving a great first impression. A passion for exceptional customer service delivery is a must, along with an ability to multi-task while creating a warm and welcoming environment.

Responsibilities:

  • Greet and welcome guests, visitors, and colleagues.
  • Provide information on site layout and directions.
  • Answer phone calls, schedule appointments, deal with enquiries, and complete administrative tasks.
  • Arrange and serve refreshments to waiting visitors.
  • Ensure the Reception area is clean, comfortable, tidy, presentable, and welcoming.
  • Provide outstanding customer service and ensure a pleasant visit for all visitors.
  • Open and close reception, lock away keys and access cards securely.
  • Answer the vehicle and access gate, opening it remotely where required.
  • Help visitors access the visitor car park, liaise with security for access where required.
  • Assist visitors/contractors, deliveries accessing the site via the gatehouse, liaise with security for access where required.
  • Meet and greet site visitors in reception, sign them in and out. Locate the appropriate contact person and notify them of the guests' arrival via email, Teams, and telephone.
  • Handle site inductions for guests, visitors, and contractors.
  • Liaise with security and provide and log temporary site access cards for contractors and visitors.
  • Assist with access within the building (escort, open doors).
  • Handle meeting room bookings (accept, reject, re-book) and meeting room signage.
  • Ensure meeting rooms are tidy, well-presented, supplied with stationery, and prepared for meeting sessions.
  • Scan, sort, and file documents used in reception as per company policy.
  • Accept, sort, and store and notify of deliveries where required.
  • Print, scan, and laminate materials.
  • Create and print internal staff communications.
  • Assist with VIP visits (meet and greet, arrange, and serve refreshments).
  • Oversee Reception supplies, stationery, and inventory.

Requirements:

  • A passion for customer service and exceeding expectations and a drive to deliver exceptional standards.
  • Excellent communication skills, both verbal and in writing.
  • Excellent time management skills.
  • Superb attention to detail but also the ability to see the implications for the bigger picture.
  • Team working skills.
  • Resilience and drive to get things right the first time.
  • Analytical, problem-solving, and decision-making skills.
  • Commercial awareness and sensitivity to the business.
  • Good organisation, time management, prioritising, and the ability to handle a complex, varied workload.
  • A good knowledge of IT packages.
