Position Overview

An excellent opportunity has emerged for a dedicated and well-organized professional to become part of the Legal team at the Trust. The successful candidate will be tasked with delivering confidential clerical and administrative assistance to the department, along with overseeing spreadsheets and databases.

This role demands outstanding organizational and administrative capabilities, coupled with the ability to achieve objectives within tight deadlines. Proficiency in IT is crucial, as the candidate will be required to navigate various IT systems and demonstrate experience in generating documents using Microsoft software.

There is potential within this position to offer paralegal assistance to the legal team, contingent upon training and suitability.

The ideal candidate will be a collaborative team member with a proactive attitude. This role is both challenging and fulfilling, necessitating commitment, enthusiasm, and the capacity to deliver exceptional service. Furthermore, it requires the individual to be an effective communicator, capable of engaging with all staff levels.

The Legal Department consists of a small team of three, all holding legal qualifications, including one solicitor. This position is vital, and it is imperative that the individual possesses the necessary skills and attributes to fulfill the role.

This is a full-time position with standard working hours from Monday to Friday.

Main Responsibilities

1. The individual will provide comprehensive legal administrative support to the Legal Services Department.

2. Responsibilities include establishing new cases, both electronically and manually, managing correspondence and all documents related to claims in line with the department's protocols.

3. The role necessitates strong literacy skills and the ability to communicate effectively, both in writing and verbally, with all staff within the Trust and external stakeholders. It involves managing all documentation in strict compliance with data protection regulations and the Trust's information governance policies.

4. The candidate will manage databases, spreadsheets, and online platforms, such as One Drive, extracting key information as required, processing invoices, and completing other administrative tasks within specified deadlines.

5. The individual must demonstrate the ability to work independently to support the workload of the Legal Department.

Job Responsibilities

4. The candidate will ensure organized processes and systems for the administration of the Legal Department's functions.

5. The individual will manage their workload and prioritize tasks to meet deadlines effectively.

6. The role requires handling sensitive and complex documents in compliance with data protection and information governance standards.

7. The candidate will respond to sensitive inquiries from various stakeholders promptly and efficiently.

8. Responsibilities include organizing meetings for case discussions and hearings, coordinating with staff and external organizations.

9. The individual will develop and maintain template documents to enhance operational efficiency.

10. Attendance at meetings to take and transcribe minutes, ensuring action points are recorded and followed up.
