Position Overview

The Patient Services Coordinator serves as the initial point of contact for individuals and visitors engaging with the Mental Health Unit. This role encompasses the management and organization of outpatient clinics and follow-up appointments. Responsibilities also include the systematic filing of documents in accordance with the Mental Health Directorate's protocols, as well as the retrieval and return of patient records to the central filing library. Additionally, the coordinator will prepare patient records for outpatient consultations and collaborate with team members to uphold the records library in line with local policies regarding retention and destruction.

It is essential to maintain the Medical Records Library, ensuring that files are accurately stored in designated areas.

The Patient Services Coordinator may also be assigned to various locations within the Mental Health Directorate as directed by their supervisor.

Key Responsibilities

We are looking for a dedicated individual to join our Mental Health Services team as a Patient Services Coordinator. While the primary location will be within the Mental Health Department, flexibility is required as the successful candidate may need to travel to community sites to manage outpatient clinics as necessary.

As the first point of contact for patients and visitors, you will play a crucial role in creating a welcoming environment.

Strong organizational and communication skills are vital, along with a flexible work approach and the ability to handle distressed or upset clients and caregivers with empathy and professionalism. The ideal candidate will possess prior office experience, preferably in a similar capacity within the NHS, social care, or another health-related setting, and will be adept at prioritizing tasks to meet stringent deadlines. A solid educational background, including at least 3 GCSEs or equivalent, is required, and familiarity with Health Board IT systems such as Welshpas, FACE, and WCCIS is advantageous, although comprehensive training will be provided.

The successful candidate will thrive in a demanding environment and exhibit a compassionate, understanding, and non-judgmental attitude towards individuals facing mental health challenges.

Proficiency in Welsh is preferred for this position; applications are welcome from both Welsh and English speakers.
