Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. The successful candidate will be responsible for managing the tender process, coordinating with sales and customer teams, and maintaining contracts and agreements.

Key Responsibilities

  • Tender Management
    • Manage the tender process from start to finish, consulting with the sales team and liaising with customers as needed
    • Liaise with sales support and technical support teams to identify and maintain updated tender responses for the UK and Nordic markets
  • Contract Coordination
    • Coordinate special pricing on database and software products with the relevant sales representative
    • Assist sales with billing terms and handling charge information
    • Maintain contracts and agreements, and coordinate extensions as required
  • Financial Analysis
    • Compile financial information and assist with the evaluation of pricing decisions for tenders and quotations
    • Prepare and circulate regular consortium and financial reporting
  • Administrative Support
    • Maintain NetCRM and ensure updates are performed in accordance with requirements
    • Support the conference, exhibitions, and events process

Requirements

  • Education and Experience
    • High level of written communication
    • Impeccable attention to detail
    • Intermediate level of competence with the Microsoft Office suite, particularly Word, Excel, and Outlook
    • Proven administrative experience working within a role dealing with contracts or the bidding process
