Position Overview

We are looking for a dedicated and proactive individual to join our team in a full-time capacity, working Monday to Friday from 08:30 to 16:30, with a 30-minute unpaid lunch break.

The ideal candidate will deliver comprehensive administrative support to the Practice Manager, Physicians, and Healthcare Professionals, utilizing strong word processing and audio typing capabilities along with general clerical tasks.

Key Responsibilities

The following outlines the primary responsibilities associated with the Healthcare Administrative Coordinator role:

  • Perform audio typing tasks efficiently.
  • Manage incoming phone calls and respond to inquiries appropriately.
  • Facilitate external communications with various stakeholders.
  • Process referrals through the electronic referral system.
  • Handle requests for information in a timely manner.

Job Duties

The core duties of the Healthcare Administrative Coordinator may include, but are not limited to:

  • Adhering to GDPR guidelines and practice policies.
  • Typing letters, reports, and related documentation as needed.
  • Coordinating with external agencies, ensuring efficient processing of referrals.
  • Managing inquiries effectively.
  • Maintaining an accurate database of referrals.
  • Inputting data into patient healthcare records as required.
  • Processing requests for information, including SAR, insurance letters, and DVLA forms.
  • Utilizing EMISWEB for data entry.
  • Answering phone calls and transferring them or addressing the caller's needs as necessary.
  • Managing administrative queries as they arise.
  • Conducting system searches as requested.
  • Keeping the workspace organized and efficient.
  • Attending training sessions and ensuring all mandatory training is current.
  • Supporting clinical staff with administrative tasks as needed.
  • Providing coverage for secretarial team members during absences.

Candidate Profile

Experience

Essential

  • Experience interacting with the public.
  • Background in administrative roles.

Desirable

  • Experience in a healthcare setting as a medical secretary.

Qualifications

Essential

  • Minimum of GCSE level education or equivalent.

Desirable

  • GCSEs in Mathematics and English (C grade or above).

  • Excellent written and verbal communication skills.
  • Strong IT proficiency, including audio typing.
  • Clear and courteous telephone etiquette.
  • Competence in Microsoft Office and Outlook.
