As a Reservations and Sales Specialist, you will ensure the seamless operation of the reservations and sales department. Your responsibilities will include managing reservation inquiries through various communication channels, liaising with the venue regarding bookings, cancellations, and special requests, and delivering outstanding service to every guest.
Key Responsibilities:
Inquiry Management:
- Promptly address reservation inquiries via phone and email.
- Handle group calls with professionalism, accurately identifying and fulfilling the caller's needs.
- Oversee booking cancellations and reconfirmations.
- Collaborate with colleagues to enhance the overall guest experience.
- Follow established procedures for confirming bookings, including deposits, payment details, and pre-orders.
- Provide precise information about venue offerings (menus, packages, terms, and conditions) to guide guests toward suitable options while maximizing upselling opportunities.
- Recognize that the guest experience begins at the inquiry stage and ensure adherence to Incipio Group's service standards.
- Maintain knowledge of available products, promotional events, and dietary accommodations.
Proactive Sales Initiatives:
- Assist the Group Sales & Reservations Manager with proactive sales strategies.
- Reach out to potential guests through warm leads generated from our website, always striving to enhance sales opportunities.
- Accurately process orders and manage follow-ups on potential sales.
- Identify and relay significant sales leads for large bookings to the Group Sales & Reservations Manager.
- Demonstrate motivation to maximize sales opportunities by adding value for guests and promoting venue facilities.
- Engage in local business outreach programs to invite local enterprises to our venues.
- Enhance pre-booked sales through proactive engagement and effective conversion of inquiries.
- Work collaboratively with other departments to create an exceptional guest experience and develop comprehensive sales programs.
- Build relationships with local clients and guests to establish a strong base of new and repeat business.
- Implement cross-selling strategies to optimize sales opportunities across the group.
- Meet inbound and outbound sales targets.
Effective Communication:
- Resolve customer issues swiftly and effectively.
- Collaborate with General Managers and on-site management teams, including Head Chefs, to fully understand venue requirements.
Qualifications:
- Experience with restaurant booking platforms.
- Background in food-centric businesses, particularly with large pre-orders and private dining.
