About the Role

We are seeking a highly organized and detail-oriented Fleet Administration Coordinator to join our team at Culina Logistics. As a key member of our operations team, you will be responsible for ensuring the smooth operation of our fleet, including scheduling, booking, and completion of maintenance and repair work.

Key Responsibilities
  • Scheduling and Maintenance: Ensure fleet maintenance schedules are up to date, including servicing and MOTs.
  • Booking and Completion: Verify that all schedule events have been booked and work completed.
  • Liaison and Coordination: Liaise with external suppliers, Culina Asset Management, and our Transport Operations Teams to coordinate vehicle maintenance and repairs.
  • Record Keeping: Maintain accurate and up-to-date records for all company vehicles.
  • Audit and Compliance: Audit fleet records and databases to ensure they are complete, up to date, and accurate, and ensure compliance with legal and regulatory requirements.
  • Performance Reporting: Produce and deliver performance statistics for meetings and calls.
  • Compliance Monitoring: Monitor compliance performance reports and take action to resolve any missing or incomplete records.
  • Support and Analysis: Support with missing mileage investigations and analyze data to identify areas for improvement.
Requirements
  • Experience: Prior fleet administration experience.
  • Administrative Skills: Strong administrative mindset and attention to detail.
  • Communication: Ability to interact with internal and external stakeholders.
  • Independence: Ability to work independently with minimal supervision.
  • Technical Skills: Good standard of computer literacy, particularly MS Office.
