Key Responsibilities:

  • Generate and compile documents for accurate client review packs, ensuring compliance with regulatory requirements.
  • Provide timely information, coordinating with providers and third parties as necessary, to facilitate seamless client interactions.
  • Maintain an organized audit trail for all client records, ensuring documents are properly saved and named, and adhering to data protection protocols.
  • Keep Financial Planners and team members updated on progress; escalate concerns or complaints as needed, to ensure prompt resolution.
  • Conduct weekly review meetings with Financial Planners to discuss priorities and address issues, fostering a collaborative work environment.
  • Support client meetings by presenting sections such as cashflow analysis, providing valuable insights to inform decision-making.
  • Perform pre and post-meeting reviews, delegate tasks, and ensure timely completion of meeting notes and actions, to maintain efficient workflow.
  • Mentor junior team members, fostering their growth and efficiency, and contributing to the development of a skilled and knowledgeable team.
  • Handle due diligence for new business, including generating platform calculators and addressing any queries, to ensure a smooth onboarding process.
  • Draft template suitability letters, filling in client details and plan elements, and consulting with senior team members when needed, to ensure accuracy and compliance.
  • Collaborate with Financial Planners to manage cash weightings weekly, ensuring accurate and timely reporting.
  • Regularly update and maintain the IO system in consultation with Financial Planners, to ensure data accuracy and integrity.
  • Process client instructions using established advice flows and checklists, to ensure efficient and accurate processing.

Essential Qualifications and Experience:

  • Progress towards the Diploma in Financial Planning, or the desire to do so, to demonstrate a commitment to professional development.
  • Proven experience in providing accurate and timely financial services administrative support, to showcase expertise and efficiency.
  • Proficiency in writing suitability letters is desirable, to demonstrate strong communication and writing skills.
  • Experience in managing client complaints, to demonstrate ability to handle complex issues and resolve conflicts.
  • Ability to identify and implement areas for improvement, to drive continuous learning and growth.
