Position Overview

In the role of Business Administrator for the Estates and Facilities division, the successful candidate will collaborate with a proactive team to provide essential support to the Director of Estates and Facilities, Deputy Director, and the broader senior management team.

The incumbent will effectively coordinate and manage intricate activities and projects for the senior management team within Estates and Facilities. This will involve orchestrating a diverse array of tasks alongside various professionals and external partners.

Key Responsibilities

The Business Administrator will:

  • Provide comprehensive diary management and administrative support to multiple senior executives.
  • Handle highly sensitive and confidential communications with discretion and professionalism.
  • Deliver business support to senior leaders while fostering relationships among senior professionals.
  • Oversee project management, analyze and interpret data, anticipate challenges, and propose suitable solutions.
  • Receive, review, process, and document correspondence and emails on behalf of the Director and Deputy Director.
  • Assist teams in ensuring that the portfolio of tasks and projects is effectively planned, managed, and executed.

Candidate Profile

Essential Experience

  • Extensive experience in providing diary management and administrative support to multiple senior executives.
  • Proven ability to manage complex, confidential communications with initiative and tact.
  • Experience in delivering business support to senior leaders and managing relationships among senior professionals.
  • Experience in budget review and auditing, or managing a delegated budget, including coding and approving invoices and timesheets.
  • Strong background in communications and stakeholder management.
  • Demonstrated success in effectively managing budgets and resources.

Desirable Experience

  • Experience in a similar role within the NHS or another complex organization.

Essential Skills

  • Exceptional communication skills, including writing, report preparation, and presentation abilities; capable of conveying clear ideas and concepts to diverse audiences.
  • Proven track record in effective project and program management.
