Position Overview

The role involves providing essential support to the Sales team, particularly concerning product opportunities. The ideal candidate will demonstrate strong communication skills, confidence, excellent organizational abilities, and meticulous attention to detail, along with a proactive attitude to effectively assist Sales, our clients, and the Finance Team.

Key Responsibilities:

  • Managing daily requests and issues from the sales teams.
  • Collaborating with suppliers to secure pricing for a variety of hardware and software.
  • Negotiating discount levels with vendors and utilizing available vendor programs.
  • Processing sales orders within internal systems.
  • Communicating with customers to provide quotations and updates on orders.
  • Offering administrative support as needed and serving as the office point of contact for the team.
  • Requesting pricing quotes from suppliers and distributors.
  • Obtaining internal quotes for specialized products.
  • Acquiring quick quotes from Supplier Portals.
  • Escalating pricing issues as necessary.
  • Creating customer quotes.
  • Reviewing and processing customer orders and any subsequent amendments.
  • Ensuring accuracy in delivery details and technical requirements for shipments, and obtaining any missing documentation.
  • Checking currency and obtaining exchange rates as required.
  • Creating internal order forms.
  • Issuing purchase orders.
  • Following up on order placements.
  • Liaising with suppliers to provide updates on orders.
  • Coordinating shipping logistics.
  • Maintaining the internal forecasting tool to ensure it is up to date.
  • Triggering billing processes.
  • Analyzing and responding to queries via telephone and email.
  • Following up on order placements and providing progress updates in Sales Forecast/CRM.
  • Responsible for obtaining weekly updates from the Sales Team to ensure all opportunities are accurately reflected in the internal forecasting tool.
  • Converting opportunities to 'won' status upon receipt of orders.
  • Cloning renewal opportunities.
  • Actively contributing to ensure the company meets its forecasted product targets.

Essential Skills and Experience:

  • Strong administrative skills, ideally acquired in a sales environment.
  • Accurate data entry and keying skills.
  • Proficiency in MS Office applications, including Word, Excel, and Outlook; familiarity with CRM systems is highly desirable.
  • Excellent verbal and written communication skills.
  • High level of accuracy and attention to detail.
