We are seeking a highly organized and motivated Administrative Support Specialist - Part Time to join our dynamic HR team. This role will involve providing essential administrative support across various areas of human resources.

Responsibilities:
  • Welcome and register company visitors professionally, ensuring a positive first impression.
  • Manage the telephone system, handling calls promptly and efficiently to direct inquiries appropriately.
  • Coordinate office supplies and equipment orders, maintaining adequate inventory levels.
  • Ensure meeting rooms are well-maintained and prepared for both internal and external meetings.
  • Support training initiatives by organizing courses, sending confirmations, collecting feedback, and presenting results. Update training records in HR systems.
  • Provide full administrative support for occupational health programs and procedures.
  • Perform general administrative tasks, including preparing letters, maintaining files, and assembling recruitment packs.
  • Assist with the recruitment process by organizing interviews and arranging inductions for new employees.
  • Maintain accurate employee records and ensure data integrity within HR systems.
Qualifications:
  • Proficiency in Microsoft Office Suite, including Word, Excel (formulas and pivot tables), and Outlook. Experience with mail merge is a plus.
  • Excellent communication and interpersonal skills, with a confident and professional demeanor when interacting with visitors and over the phone.
  • Ability to work flexible hours, including Monday to Friday, and provide additional coverage during team holiday periods.
  • Highly organized and detail-oriented, with the ability to manage multiple tasks effectively.
  • Proactive and solution-oriented approach, demonstrating a willingness to take initiative.
  • Previous experience in an administrative and customer-facing role is essential.
  • Strong written and verbal communication skills, ensuring clear and concise interactions with all employees and departments.
  • Experience handling sensitive/personal information with the utmost confidentiality.
