V Group Limited is seeking a highly skilled and experienced Procurement Delivery Administrator to join our team. As a key member of our Fleet Procurement team, you will play a critical role in ensuring the safe and efficient operation of our fleet.

Key Responsibilities:

  • Creation of office requisitions in our company system, following instructions from Fleet Superintendents or agreed annual commitments.
  • Processing of vessel and office requisitions through our company system, adhering to set controls.
  • Obtaining, presenting, and verifying quotations received from approved suppliers, in accordance with company policy.
  • Maintaining a knowledge of approved suppliers and scope of supply, working with Fleet Cell Liaison Managers to identify and promote available solutions within the Fleet Cell.
  • Clarifying any additional information required by suppliers, vessels, or Fleet Superintendents in a timely and reliable manner.
  • Liaising with Fleet Superintendents and on-board Senior Management on purchasing matters.
  • Coordinating the supply of ship spares and stores upon authorization from relevant departments.
  • Proactively managing the pick-up, storage, and last-mile delivery of ship spares to the vessel, maximizing consolidation opportunities where appropriate.
  • Managing the progress and delivery of all orders until finalized as received on-board.
  • Resolving any supply discrepancies advised by vessels or Fleet Cell with suppliers.
  • Receiving, checking, and managing invoices within the scope of the procedure and passing to the Accounts Department for payment.
  • Assisting in urgent situations by providing out-of-office hours support to assigned vessels or Fleet Superintendents, as required.

Requirements:

  • Proficient computer skills and the ability to learn and use company software systems.
