Position Overview
We are looking for a Regional Operations Coordinator to become a part of our Business Management team. This role will involve close collaboration with the Commercial Manager, Regional Directors, and their respective teams.
The Regional Operations Coordinator will report directly to the Commercial Manager and will assist in managing the administrative needs of the Regional teams. Additionally, this position will support various corporate initiatives/functions based on relevant skills, experience, and aptitude. As a Regional Operations Coordinator, you will oversee daily operations, manage projects, and ensure efficient functioning across regional offices.
This position offers the flexibility of hybrid working, with successful candidates expected to work from the office at least three days a week.
This is an excellent opportunity to gain firsthand experience in business and commercial management, working alongside senior professionals and engaging in back-office and client-impacting tasks. It is particularly suited for an experienced administrator with aspirations in business management or a recent graduate looking to launch their career.
Key Responsibilities
- Implement processes and procedures for the coordinated execution of the Business Management system under the guidance of the Commercial Manager.
- Manage and assist in the input of project lead information, pipeline job details, and live job data to ensure consistent company-wide data capture.
- Support the Regional team in operating the Business Management System, ensuring timesheets are completed efficiently and accurately.
- Coordinate and manage regional invoicing and the compilation of relevant data and reports.
- Oversee regular regional fee forecasting to maintain accurate and up-to-date data.
- Monitor cash collection and ensure job runners report on cash collection when targets are not met.
- Review Regional team project profit reports and collaborate with job runners to provide narratives and mitigation strategies for unprofitable projects.
- Organize and coordinate meetings and schedules for the Regional Directors and Executive Directors.
- Plan and coordinate social events and professional development activities for the Regional team in collaboration with HR and Training Partners.
- Manage the company's Health and Safety and First Aid responsibilities.
- Coordinate meeting room and venue bookings for the Regional team.
- Order necessary office supplies.
- Manage and coordinate Purchase Orders for subcontract and consultancy services in support of the Regional team.
- Oversee local ESG initiatives.
- Coordinate accurate and timely expense submissions for the Regional team.
- Ensure the Regional team's social media and blog content is aligned with the Marketing and Communications Executive.
Required Skills and Qualifications
- Strong interpersonal skills with the ability to build and maintain relationships.
- Experience in operations management and process optimization.
- Proficient in Microsoft Office, particularly Word, Excel, and PowerPoint.
- Analytical skills with the ability to gather and interpret data.
- Excellent written and verbal communication skills.
- Able to work independently and collaboratively within a team.
- Experience in the planning or real estate sector is advantageous.
- A Bachelor's degree in a relevant field, such as Business or Operations Management, is preferred.
The salary range for this position is between £26,000 to £35,000, depending on experience.
