Position Overview

Located at our Headington campus and reporting directly to the Chief People Officer, the Executive Assistant is tasked with delivering extensive, professional, and confidential administrative assistance. This position serves as the primary point of contact for the Chief People Officer, necessitating a demeanor of tact, discretion, and a friendly, positive approach.

Team Dynamics

The People Directorate is dedicated to supporting all Facilities and Directorates, comprising around 70 staff members. This team, situated on the Headington Hill campus, offers expertise in various areas including employee relations, compensation and benefits, recruitment, diversity and inclusion, and organizational development, among others.

Key Responsibilities

  • As the Executive Assistant to the Chief People Officer, your responsibilities will include:
  • Delivering comprehensive, professional, and confidential administrative support to the Chief People Officer (and, when necessary, the Registrar and Chief Operating Officer).
  • Preparing and compiling documents, ensuring timely submissions for significant university committees (e.g., Board of Governors, People Committee, Senior Academic Promotions Committee, VCG Recruitment Panel).
  • Assisting the Directorate Senior Management Team with various tasks.
  • Managing electronic calendars and coordinating meetings with relevant participants (both internal and external).
  • Prioritizing and directing incoming communications, responding to letters and emails, and drafting replies as appropriate.
  • Supporting administrative functions and tasks as directed by the Chief People Officer, including long service awards, university compensation schemes, and welcome events (in collaboration with other team members).

Required Skills and Experience

  • The ideal candidate will possess the following qualifications and experience:
  • A strong educational background, including exceptional written English and a solid level of numeracy.
  • Proficiency in Google applications, Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Proven ability in proofreading and drafting documents/presentations, with experience in financial transactions and budget monitoring.
  • Demonstrated experience as a senior PA/Executive Assistant supporting high-level executives.
  • Experience working independently and managing sensitive corporate information.
  • A keen attention to detail, along with the ability to perform under pressure in a dynamic office environment.

Based at our Headington campus, you will enjoy a vibrant campus atmosphere and benefit from a modern office setting. The campus is conveniently located near public transport options. This role will be hybrid, with an expectation of being on campus 1-2 days per week.

Salary: £34,980 rising annually to £38,205.
