Job Summary:

The Fleet Operations Coordinator will play a critical role in supporting the Fleet Control Manager and Duty Fleet Controllers in directing, optimizing, and coordinating the day-to-day activities of the fleet. This position will focus on service delivery and enhancing the customer experience while minimizing service disruptions.

Key Responsibilities:

  • Provide real-time information to passengers and stakeholders regarding service disruptions, vessel usage, and crew availability.
  • Responsible for sending service alert emails to internal stakeholders and operational team members.
  • Ensure all vessels are adequately staffed day-to-day, in line with operational requirements, and liaise with the Business Scheduling Executive to ensure correct crewing.
  • Responsible for cross-checking daily running orders against rota1 shift inputs, ensuring scheduled crews are trained to work on their assigned boats.
  • Respond to charter booking enquiries from the Sales team, ensuring they are delivered according to the charter sheets in the most cost-efficient way possible.

Main Activities:

  • Operate and monitor vessel GPS tracking systems, monitoring passenger numbers, and directing craft as required.
  • Advise Craft and Pier staff of passenger volumes if necessary.
  • Cancellations: rolling out craft cancellations and passenger information as required using real-time information systems.
  • Liaise with the Sales team to assist with charter booking enquiries, ensuring they are delivered in the most cost-efficient way possible.
  • Work with the Business Scheduling Team to ensure the vessels are adequately staffed and minimum staffing requirements are met.
  • Ensure the fleet operations department adheres to the WTD and all regulatory requirements.
  • Record last-minute shift changes or overtime on Rota1 to prevent discrepancies in crew contractual hours or pay.
  • Track departmental recharge costs to support the creation of a monthly financial budget report for the Fleet Operations department.
  • Ensure requested management information and reports are shared within the required timeframe.
  • Appraise and review current and forecast weather conditions, ensuring fog alerts are communicated to all stakeholders.
  • Comply with the company's safety management system and all legislative requirements.
  • Attend meetings and training as required and train to act as Duty Fleet Controller when necessary.
  • Provide and promote the highest level of customer service.
  • Manage the control room integrity and protect its assets, reporting faults immediately.
  • Undertake any other relevant duties or reasonable requests as requested by the Fleet Control Manager and senior management team.
