Job Overview

Important Notice - This position has the potential to transition into a permanent role following the completion of the temporary contract.

The primary function of this position is to deliver administrative assistance, particularly in the area of medical records summarization and basic workflow management. Additional administrative responsibilities may be assigned as needed. This role is ideal for individuals seeking part-time hours, working 2 to 3 days per week. There is complete flexibility regarding workdays and start/finish times, which will be discussed further during the interview process.

Administrative Duties
  • Maintain accurate summaries of patient medical records in the electronic system.
  • Summarize new patient records to a high standard, adhering to established protocols and timelines set by the practice.
  • Verify and ensure the accuracy of electronically received records from other healthcare providers.
  • Perform general administrative tasks, supporting clinical data entry needs such as patient recalls.

Key Responsibilities

We are in search of a motivated and positive administrator to join our dedicated team. The ideal candidate should possess some clinical knowledge, attention to detail, and a strong work ethic, demonstrating self-motivation and a commitment to excellence.

Candidates should ideally have experience in a clinical administrative setting within the healthcare sector. However, candidates with a strong and relevant background or experience will also be considered.

About Our Team

Our administration team consists of 9 members who support all facets of clinical system administration. In total, there are 35 staff members working at the practice.

Our main site offers modern facilities with ample parking and convenient public transport options.

Job Responsibilities

This new role will initially focus on the summarization of medical records:

  • Review patient records and accurately summarize critical medical histories.
  • Accurately code data into the patients' medical records.
  • Monitor the progress of summarization to ensure practice targets are met.
  • Organize and store records as required.
  • Photocopy documents as necessary.

Candidate Profile

Required Qualifications

  • Proficient in numeracy and IT skills, including Outlook and Word.
  • Strong communication skills, both verbal and written.
  • Excellent organizational skills, effective time management, and the ability to work independently to prioritize workload.
  • Ability to collaborate as part of a multi-skilled team.
  • Capacity to work under pressure and adapt to a dynamic environment.
  • Keen attention to detail.
  • Experience handling confidential and sensitive clinical information, with a commitment to maintaining strict confidentiality.
  • Flexibility and adaptability to manage the pace and breadth of changes.

Preferred Qualifications

  • Familiarity with clinical terminology and medical records management.
  • Experience with EMIS Web.
  • Background in primary care or other healthcare environments.
  • Knowledge of Information Governance Requirements.
