Finance Assistant Job Description

We are seeking a highly skilled Finance Assistant to join our team at Randstad Perm Professionals. The successful candidate will provide administrative support to the finance team, particularly the Finance Manager, with transactional finance including sales and purchase ledger.

Key Responsibilities:
  • Sales Ledger:
    • Raise monthly sales invoices on XERO and email to customers, attaching relevant documents where necessary.
    • Raise sales invoices daily/weekly.
    • Chase customer purchase orders required for sales invoicing in advance of invoices needing to be raised.
    • Assist in resolving customer queries.
    • Email customer statements twice a month - month end and mid-month.
    • Keep credit control spreadsheets up to date on a daily basis.
    • Set up new customers on XERO using correct numbered prefixes.
  • Purchase Ledger:
    • Enter supplier invoices received onto XERO daily. Ensure all received supplier invoices are entered by the end of each week.
    • Upload certain supplier invoices for approval and bring to the attention of the Finance Manager any invoices that have increased dramatically in value.
    • Reconcile supplier statements received against XERO and request missing invoices from suppliers.
    • Set up new suppliers on XERO using correct numbered prefixes.
  • Expenses:
    • Verify accuracy of staff expenses onto CRM, paying special attention to VAT amounts and expenses categories.
    • Enter company credit card statement transactions onto XERO, coding expenses to accurate chart of accounts and reconcile them with XERO.
    • Monthly petty cash reconciliation.
Requirements:
  • Accounts/Finance Assistant/bookkeeping experience.
  • Strong numerical skills.
  • Problem-solving skills.
  • Ability to maintain high-level accuracy under pressure.
  • Capable of managing multiple projects and relationships simultaneously.
  • Negotiation, communication, presentation, and listening skills.
  • Time management skills.
  • A good level of education.
