Job Description

Role Overview

The Buying Admin Assistant will play a crucial role in supporting the Buying team at Undisclosed, a leading multinational high-street retailer. This position will be responsible for managing the manual product setup process, working closely with the BPS offshore team to ensure accurate and timely product setup, and liaising with the.com team to obtain necessary imagery.

Key Responsibilities

  • Product Setup and Management
    • Manage the manual Excel product setup spreadsheet process to ensure accuracy and efficiency.
    • Work with the BPS offshore team to set up products in a correct and timely manner, adhering to brand guidelines.
  • Collaboration and Communication
    • Liaise with the.com team to obtain necessary imagery for product setup.
    • Communicate effectively with key stakeholders, including brands and the.com team.
  • Sample Management and Coordination
    • Manage and coordinate all sample requirements for events, requests, and sign-offs.
    • Ensure accuracy of systems and labels in readiness for international selling events.
  • Problem-Solving and Critical Path Management
    • Identify and escalate problems to the team, proposing solutions to ensure timely delivery.
    • Own and manage critical path meetings to drive delivery of key elements.
  • Continuous Improvement
    • Stay up-to-date with competitors and provide structured feedback to the team.
    • Contribute to the selection process and delivery of new ranges.

Requirements

  • Either Buying experience with a major retailer or experience within a retail head office environment.
  • Passion for products and desire to learn about the brand and customer.
  • Highly organized with attention to detail, ability to anticipate and manage problems, and prioritize tasks effectively.
  • Systems experience or a clear demonstration of the ability to learn to use systems quickly.
  • Good communication skills, with the ability to communicate clearly using various channels.
  • Knowledge of or strong desire to learn about the end-to-end Buying process to take responsibility for Critical Path Management.
