Job Summary:
The Junior Associate – Waystone Internal Corporate Secretarial Services function will be responsible for delivering services to a portfolio of Waystone internal companies and committees. This role will support the Director - Internal Corporate Secretarial in undertaking a support role to the Corporate Secretary function. Key responsibilities include delivering KPI's and MI on a regular and consistent basis for management, detailed capacity monitoring, and helping to drive the implementation of a technology solution to underpin the business.
Key Responsibilities:
- Provide support to the team in delivering services to Waystone internal entities;
- Organise board and committee meetings, prepare board papers, and attend meetings;
- Oversee the preparation of documents, board packs, minutes, and resolutions;
- Prepare and finalise corporate documentation, including resolutions and other corporate documents;
- Assist in the compilation and preparation of management information as required;
- Be willing to take on additional duties as needed;
- Display an understanding of corporate governance practices and regulatory filing requirements;
- Ensure client files and corporate records are maintained and updated appropriately;
- Follow current Waystone policies and procedures;
- Liaise with fund service providers, management, entity boards, and senior staff;
- Maintain and update corporate records using Diligent Entities and Board Intelligence;
- Monitor and update task tracking schedules to ensure all assigned duties are completed within deadlines;
- Promote team building and communication within the organisation.
Requirements:
Desired Education:
- ICSA qualified or relevant Legal or Corporate Governance qualification;
- Bachelor's degree in a related field is desirable.
Experience:
The ideal candidate will have at least one year's company secretarial experience in the funds/financial sector and will have completed their grad ICSA qualification or be working towards same. They will thrive in a fast-paced environment and should have experience supporting other team members. They should also have exceptional attention to detail and be adept at building professional working relationships with senior management and clients.
