Position Overview:

We are seeking a proactive and organized individual to become a vital part of our team. As the first point of contact, you will manage reception duties and administrative tasks, ensuring a welcoming and professional atmosphere at all times. You will be joining a skilled administrative team committed to providing efficient support for the smooth operation of our organization.

Main Responsibilities:

  • Welcome visitors with a friendly and professional demeanor.
  • Coordinate with staff and students to ensure visitors are comfortable and informed during their wait.
  • Handle incoming calls with professionalism, directing them appropriately.
  • Accurately record and relay messages in a timely manner.
  • Manage the signing in/out process, maintaining compliance with Health and Safety regulations.
  • Assist during open days by greeting visitors and providing necessary information.
  • Support the provision of refreshments for meetings and visitors as needed.
  • Maintain an accurate central shared calendar.
  • Perform accurate duplication, scanning, and distribution of documents.
  • Ensure the reception area is safe and welcoming for all visitors.
  • Handle incoming and outgoing mail efficiently.
  • Uphold confidentiality at all levels.
  • Demonstrate effective multitasking and time management skills.
  • Support students in gaining work experience in a reception role.
