Personal Executive Coordinator reporting to the Managing Director - Part-Time/Full-Time

Role Responsibilities

As a Personal Executive Coordinator, you will be instrumental in aiding our Managing Director with the daily management of our marketing operations. Your responsibilities will encompass various facets of the business to ensure seamless functionality, with a primary focus on resource management, financial oversight, ongoing improvement initiatives, project coordination, and general administrative tasks.

Key Duties

Collaborating closely with the Managing Director to achieve:

Administrative Oversight:

  • Supervise general administrative tasks to guarantee effective office operations.
  • Manage office resources, equipment, and maintenance services.
  • Formulate and enforce office policies and procedures to boost administrative productivity.
  • Coordinate with IT services to ensure the smooth operation of all technological and communication systems.

Financial Oversight:

  • Direct budgeting, forecasting, and financial planning activities.
  • Track financial performance and implement strategies to meet financial objectives.
  • Ensure cost management and oversee operational expenditures to enhance profitability.
  • Compile financial reports and present findings to senior management for evaluation and decision-making.

Talent Acquisition and Management:

  • Design and execute recruitment strategies to attract and retain exceptional talent.
  • Oversee the recruitment cycle, including job advertisements, candidate evaluations, interviews, and onboarding processes.
  • Collaborate with HR to establish and maintain a talent pipeline that supports the agency's growth and operational requirements.
  • Encourage a culture of continuous learning and professional development.

Contract Oversight:

  • Manage the preparation, negotiation, and administration of contracts with clients, suppliers, and partners.
  • Ensure all contracts comply with legal standards and agency policies.
  • Monitor contract execution and enforce terms to safeguard the agency's interests.

Project Coordination:

  • Oversee the planning, execution, and completion of projects to ensure timely and budget-compliant delivery.
  • Implement project management best practices and tools to enhance processes and productivity.
  • Track project progress, identify potential challenges, and proactively devise solutions.

Qualifications & Experience

Demonstrated experience as a Personal Executive Coordinator or in a comparable role, ideally within a marketing agency.

  • Analytical mindset with robust problem-solving abilities.
  • Proficient in project management tools and software.
  • Excellent communication and interpersonal skills.
