Production Coordinator - Freelance

At IMG LIVE, we're seeking a highly organized and detail-oriented Freelance Production Coordinator to join our team. As a key member of our production management team, you'll provide essential support for a range of productions, including high-profile events and broadcasts.

Key Responsibilities:

  1. Collaborate with the Production Manager and team to ensure seamless production coordination across various projects.
  2. Negotiate and book freelancers and facilities, ensuring timely and cost-effective solutions.
  3. Arrange travel, accommodation, equipment, and crew for domestic and international shoots and broadcasts, handling logistical requirements with ease.
  4. Ensure risk assessments are properly created and health and safety protocols are followed for all shoots and post-production work.
  5. Develop and distribute call sheets, serving as the primary point of contact for crew members outside of regular working hours.
  6. Complete post-production deliverables, including paperwork and documentation.
  7. Assist in budget compilation, inputting committed costs into the Cost Report, and reconciling with the Finance Assistant.
  8. Troubleshoot and address ad-hoc production queries and duties in conjunction with the Production Manager.
  9. Oversee the smooth day-to-day operation of outside broadcasts on location, directing runners, coordinating daily shuttles, and handling travel and crew changes under the supervision of the Production Manager.

Requirements:

  1. Ability to work independently on projects with minimal supervision.
  2. Excellent production coordination and support skills across various productions.
  3. Effective production support for the production management team.
  4. Ensuring all necessary paperwork, filming permits, release forms, and risk assessments are in place for production.
  5. Ensuring all production deliverables are completed in a timely manner.
  6. Compliance with company procedures as detailed in IMG LIVE's Production Guide.
  7. Experience in creating call sheets, booking freelancers and suppliers, and arranging travel logistics.
  8. Understanding of Health and Safety paperwork requirements, including risk assessments.
  9. Knowledge and understanding of production workflows.
  10. Proficient in Microsoft Word and Excel.
  11. Excellent time management skills, reliability, and punctuality.
  12. A positive, professional, and proactive approach to working effectively as part of a team and independently.
  13. Experience with managing complex and fluid production schedules.
  14. Knowledge of SAP.
  15. Health and Safety Production Training and Project Albert Training (provided if current training is not up to date).
