Project Coordination Specialist

We are currently seeking a Project Coordination Specialist to support our operations.

KEY RESPONSIBILITIES

  • Provide administrative assistance to the project team, ensuring seamless project execution.
  • Project-related tasks: Serve as the primary contact for project-related activities, including the preparation and formatting of specifications, reports, presentations, document printing, and binding. Follow administrative processes throughout the project lifecycle, assisting with the coordination of RFPs/PQQs/tenders, etc.
  • Monthly reconciliation of corporate credit card transactions.
  • General typing tasks, including the creation of letters, reports, presentations, and specifications using standard templates, along with timely management of correspondence.
  • Document minutes and action items during team meetings.
  • Coordinate courier services and manage package distribution.
  • Assist in completing expenses and timesheets for the project team.
  • Manage holiday leave requests for the project sector team.
  • Organize domestic and international travel, including itinerary preparation and insurance in accordance with company travel policies.
  • Support project quality assurance compliance and document management.
  • Maintain and update the Contact Relationship Management Database (CRM).
  • Assist with Ethics and Risk compliance processes and prepare necessary documentation.
  • Facilitate onboarding and offboarding of team members.
  • Manage sector team organograms.
  • Coordinate CSCS card applications.
  • Support engineers in site activities, including PPE, risk assessments/method statements, and monitoring the booking system.
  • Assist with event planning, both internal and external, including CPD sessions.
  • Raise, track, and issue purchase orders in line with company procedures.

QUALIFICATIONS

  • Prior experience in an administrative role is preferred.
  • Exemplary time management, multitasking, and organizational skills, with the ability to work independently.
  • Strong organizational skills.
  • Effective time management abilities.
  • Capability to prioritize workload efficiently.
  • High level of accuracy and attention to detail.
  • Familiarity with engineering terminology is desirable.
  • Flexibility in working hours, including the ability to work overtime on short notice.
  • Excellent verbal and written communication skills.
  • Ability to meet tight deadlines.
  • Intermediate to advanced proficiency in MS Word, Excel, PowerPoint, Publisher, and Outlook.
  • Experience with G-Suite is preferred.
  • A background in consulting or construction is advantageous.
  • Understanding of international business operations within a global consultancy is desirable.
