Job Summary
An exciting opportunity has arisen to join the Royal Berkshire NHS Foundation Trust as an Administrative Support Specialist - Patient Pathways. The post holder will be responsible for delivering an effective and efficient support service to the specialty/CAT teams, to assist in the provision of quality patient care.
Main Responsibilities
- To be responsible for the timely processing and distribution of all incoming mail and documents, ensuring they are date stamped upon arrival and processed according to established Standard Operating procedures (SOPs).
- To support Patient Pathway Coordinators with printing documents from various systems, including the medical transcription system.
- To check that all printed clinic and appointment letters are complete and accurately addressed, and escalate any that need correction to Patient Pathway Coordinators.
- To assist Patient Pathway Coordinators and APPCs to ensure all healthcare notes and diagnostic results are available for each patient at the beginning of the clinic session.
- To ensure all relevant documents are filed in patients' healthcare records according to local standards for turnaround time.
- To retrieve health records as requested by members of the team.
- To book and reschedule patient appointments as required.
- To respond to queries about appointment schedules as directed.
- To assist with booking services for patients' transportation.
About the Role

Key Characteristics
The key purpose of this role is to deliver a 'world-class' service to the Trust. The job holder will be expected to deliver this level of service through personal conduct, personal responsibility, and the following key characteristics:
- To be proactive and responsive in providing administrative support to the specialty/CAT teams.
- To maintain accurate and up-to-date records and files, ensuring compliance with local standards and SOPs.
- To communicate effectively with patients, families, and professionals, providing assistance and reassurance as needed.
- To work collaboratively with the wider admin team to ensure the smooth registration of patients attending designated outpatient clinics.
