Position Overview

Merrifield Consultants is excited to collaborate with a distinguished Medical Membership Organisation in the search for a motivated and innovative Events Coordinator. This role presents a fantastic opportunity for an individual who is passionate about event coordination and eager to play a vital role in the success of a respected professional association.

We are looking for a proactive Events Coordinator to assist in the planning, execution, assessment, and enhancement of a variety of both in-person and virtual events. This position will ensure that all activities are conducted to the highest standards, adhering to timelines and budgetary constraints.

Job Title: Events Coordinator

Salary: £34,284 per annum

Contract: Full-time, permanent

Location: Hybrid working model (combination of remote and office-based work)

Working Hours: 9am - 5pm, Monday to Friday, with some flexibility required for evening and weekend events

Key Responsibilities

  • Assist the Events Team in organizing and executing significant events such as the Diploma Ceremony and flagship conference.
  • Coordinate smaller gatherings, including regional programs, webinars, and online peer reviews.
  • Engage with venues, speakers, suppliers, and attendees to ensure seamless event operations.
  • Maintain precise financial documentation and support budget oversight.
  • Develop event content informed by member feedback and contribute to ongoing process enhancements.
  • Collaborate with the communications team to promote events effectively.
  • Analyze member feedback to generate ideas for event content development.
  • Work with the communications team on event promotion to target audiences.
  • Export and manipulate data from the CRM system.
  • Manage venue and speaker relations, negotiate contracts, and process delegate bookings while coordinating facilitators.
  • Collect, compile, and act on delegate feedback.
  • Issue CPD certificates to delegates.

Candidate Profile

  • Demonstrated experience in an events-related role.
  • Proven track record in organizing a diverse range of in-person and online events.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience in data management and generating analytical reports.
  • Familiarity with budget management.
  • Experience with Microsoft Dynamics or similar CRM platforms.
  • Skilled in contract negotiation and securing event venues.
  • Experience with website content management systems.
  • Familiarity with event management systems and survey tools such as Survey Monkey.
  • Previous experience within a membership organization or the not-for-profit sector.
