Role Overview
The Executive Administrative Coordinator is tasked with delivering comprehensive, proactive assistance to legal professionals, ensuring their operations run smoothly. This role requires a high level of self-management, initiative, and confidentiality.
The Coordinator will oversee workflow management for other support functions, which involves delegating and supervising tasks related to document production, file management, and other essential support services.
Key Responsibilities
- Efficiently managing intricate schedules;
- Responding to phone inquiries promptly and accurately documenting messages;
- Organizing both internal and external meetings;
- Communicating with clients via email or phone, maintaining the firm's standards for client relations;
- Assisting legal professionals with billing and credit control, generating precise billing reports and draft invoices;
- Supporting financial tasks, including processing payments and managing bank transactions;
- Ensuring timely and accurate use of client relationship management tools for matter management;
- Keeping client records updated in accordance with company policies;
- Coordinating travel arrangements and movements for legal professionals;
- Managing the client onboarding process to ensure timely file openings;
- Overseeing the submission of expense reports for legal professionals;
- Coordinating document production, including digital dictation and file management;
- Drafting official documents and liaising with colleagues across various offices;
- Actively participating in relevant training sessions;
- Demonstrating adaptability in work practices to meet business needs;
- Collaborating with team members and other departments as necessary.
Personal Attributes
- Experience in a legal or professional services environment is preferred;
