The Role

We are seeking a highly organized and detail-oriented Wholesale Administrative Assistant to join our team. In this role, you will provide administrative support to our wholesale team, ensuring seamless execution of tasks and efficient communication with internal and external stakeholders.

Key Responsibilities

  • Vendor Performance Analysis: Review and analyze vendor sales reports to identify trends and areas for improvement.
  • Reporting: Prepare and present wholesale and product reports to internal stakeholders, highlighting key metrics and insights.
  • Client Database Management: Maintain accurate and up-to-date client information, ensuring seamless communication and order processing.
  • Stock Management: Oversee stock swaps and returns, ensuring timely and efficient resolution of issues.
  • Logistics Coordination: Liaise with the Logistics team to ensure timely deliveries and accurate tracking of wholesale shipments.
  • Agency Communication: Coordinate with selling agencies to ensure inventory accuracy, monitor performance, and address client requests.
  • Market Support:
    • Manage sales appointment calendars and prepare showrooms in line with critical path timelines.
    • Handle order entries, perform checks, and confirm orders.
    • Coordinate sample requests for markets and wholesale clients.
    • Collaborate with the Logistics department to gather and check POs and shipping documents.
    • Create and customize training materials and marketing assets for clients.
    • Develop look books and line sheets.

Requirements

  • Wholesale Experience: Proven experience working within the wholesale channel, preferably in the luxury or fashion sector.
  • Industry Knowledge: Understanding of the skiwear and lifestyle market is a plus.
  • Commercial Skills: Ability to support and execute commercial strategies.
  • Communication Skills: Strong written and verbal communication skills, with the ability to liaise effectively with internal teams and external partners.
  • Organisational Skills: Excellent organisational skills with the ability to manage various tasks and prioritise workloads efficiently.
  • Attention to detail: Thorough attention to detail, especially when handling order processing and data entry.
  • Software Skills: Confident with Microsoft Suite, particularly skilled in Excel. Prior knowledge and use of Nu Order or Joor is advantageous.
  • Proactive Attitude: Demonstrates initiative and a can-do attitude, especially when solving problems or managing unexpected issues.
  • Team Player: Ability to work collaboratively with the team and a willingness to travel if required.
