Job Title: Conveyancing Assistant

We are seeking a highly organized and detail-oriented Conveyancing Assistant to join our team at Davies and Partners Solicitors. As a key member of our conveyancing department, you will play a crucial role in ensuring the smooth execution of residential property transactions.

Key Responsibilities:
  • Assist with issuing quotes, opening new files, and onboarding clients.
  • Provide exceptional customer service to clients, developers, and brokers through telephone and email communication.
  • Exhibit flexibility, particularly during peak periods, to meet the demands of the business.
  • Update developer spreadsheets and work lists on OneDrive.
  • Monitor and update our App as key stages are met, and assist clients with any queries.
  • Verify client documentation and identify necessary procedures for each individual client.
  • Obtain satisfactory evidence of funds to satisfy AML regulations and report any concerns to the Team Leader/Head of Department.
  • Request payment on account from clients.
  • Verify draft Contract documentation to ensure accuracy in client names, addresses, and purchase price.
  • Arrange Search Insurance or obtain Local, Environmental, and/or Drainage Searches as required.
  • Send standard correspondence to clients.
  • Draft Stamp Duty Land Tax forms in preparation for client reports.
  • Notify clients and solicitors of exchange confirmation.
  • Advise clients when notice to complete has been served.
  • Obtain OS2 and Bankruptcy searches and download results onto case files and lender portals.
  • Obtain closing statements from clients and order ISA/LISA funds.
  • Order redemption statements from lenders on sales.
  • Coordinate completions with the Accounts Department, including bills and e-chits.
  • Provide clients with completion statements once checked by the Accounts Department.
  • Submit and pay SDLT to HMRC upon completion.
  • Arrange completion letters to clients and solicitors, and send deeds on sales to solicitors.
  • Submit END1s/DS1s to existing lenders/HTB on sales.
  • Submit the AP1 and add the matter to the Post Completion spreadsheet on OneDrive.
  • Assist with training new Paralegals/Junior Paralegals to departmental standards.
Requirements:
  • GCSEs or equivalent in Maths and English.
  • A Law Degree is not required, but awareness of compliance and processes within residential conveyancing is beneficial.
Skills and Knowledge:
  • Experience working as a Conveyancing Paralegal or Assistant in a conveyancing department (ideally with New Builds).
  • Experience working in a fast-paced and demanding environment.
  • Experience completing administrative tasks.
  • Self-organized and proactive.
  • Excellent attention to detail.
  • Ability to maintain client confidentiality.
  • Adaptable to the needs of the business as changes occur during operational requirements.
  • Competence in the effective use of Information and Communications Technologies (ICT).
  • The ability to prioritize, meet deadlines, and work under pressure.
  • Excellent interpersonal, communication, and presentation skills.
  • Ability to be flexible.
  • Experience working within residential conveyancing is useful but not essential, as full 'on the job' training will be provided.
