This position is based in Cheadle, Greater Manchester, and is offered on a full-time basis under an initial fixed-term contract, with the potential for a permanent role in the future. As the Senior Executive Coordinator, the successful applicant will deliver comprehensive administrative and organizational support to the CEO, Deputy CEO, and Trustees as required. This includes managing their schedules, communications, travel arrangements, and accommodation bookings, ensuring their responsibilities and activities are effectively coordinated, thereby contributing to the overall success and operational efficiency of the organization. Key Responsibilities of the Senior Executive Coordinator:
- Proactively manage the CEO's complex workload and commitments through meticulous diary management, ensuring optimal use of their time and prioritizing competing demands.
- Provide diary management support for Department Directors, ensuring the CEO's schedule remains the priority.
- Prepare all necessary materials ahead of meetings for the CEO and Trustees, ensuring timely access to relevant information and comprehensive follow-up.
- Coordinate all travel, accommodation, and logistical arrangements for both national and international trips, managing itineraries and ensuring seamless execution.
- Handle all correspondence and inquiries directed to the CEO's office, ensuring timely dissemination of information to other directors and departments as needed.
- Accurately complete and submit expenses for the CEO, Deputy CEO, and Trustees in accordance with financial guidelines.
- Address potential conflicts and issues with transparency, ensuring timely reporting and resolution.
- Document minutes for all relevant meetings, including those with Trustees, ensuring timely production and maintenance of accurate records.
- Assist in the planning, implementation, and evaluation of program projects, collaborating with team members to meet deadlines and ensure high-quality deliverables.
- Facilitate communication and collaboration to advance program objectives and goals.
